May Institute’s Human Resources team is seeking a
Human Resources Administrative Assistant
to support key HR operations, employees, and HR initiatives.
About Your Role
The Human Resources Administrative Assistant provides administrative support for key operational functions and the SVP of HR. Responsibilities include maintaining accurate records, handling confidential information, and helping ensure HR processes and initiatives run smoothly.

What You’ll Do
Maintain employee personnel files and HR systems,
ensuring accuracy and confidentiality
Manage leave of absence
by tracking documentation, building and maintaining leave spreadsheets and conducting bi-weekly meetings with HR field representatives
Maintain the Leave of absence mailbox
and respond to employees' and HR Field Representatives' inquiries regarding FMLA eligibility, procedures, policies and preparing leave paperwork
Prepare reports, spreadsheets, and HR documentation as requested
Update the MA DFML website
with the employer's response to notifications received for State leave requests from employees
Support compliance efforts,
including audits, 1-9 verifications, and required postings
Provide administrative support to the SVP of HR,
including scheduling meetings, maintaining calendars, preparing correspondence and reconciliation of invoices
Perform general office duties such as filing, scanning, data entry, and ordering supplies
What You Bring
High school diploma or equivalent required; associate or bachelor's degree preferred, or equivalent work experience
2+ years of administrative or HR support experience
preferred
Strong organizational skills and attention to detail
Ability to handle
sensitive and confidential information
with professionalism
Proficiency in
Microsoft Office
(Outlook, Word, Excel); experience with HRIS systems a plus
Excellent written and verbal communication skills
Ability to
prioritize tasks, meet deadlines,
and work in a fast-paced environment
